A Tour Through the SupaSpace Host Dashboard πΊοΈ
Explore the structure, navigation, and core features of the SupaSpace Host Dashboard, including contract management, space customization, manager permissions, and accounting tools.
Welcome to the Host Dashboard π
The SupaSpace Host Dashboard is where hosts manage their spaces, properties, contracts, customers, payments, and other aspects of their business.
Whether you want to add a new property, manage an existing space, approve a guest request, check your transactions, communicate with customers, or review your business analytics, the Host Dashboard is where you do it.
The dashboard is divided into three main sections:
-
Sidebar β used for navigating between different pages.
-
Heading β displays information about the current host, date, and logged-in user.
-
Main or Action Area β displays the content, lists, details, and actions for the current page.
Let's take a closer look at each part.
The Three Parts of the Dashboard
1. The Sidebar
The sidebar is located on the left side of the dashboard.
It is your main navigation area and allows you to move between the different pages available to you.
Depending on your account and permissions, you may see pages such as Properties, Spaces, Contracts, Confirmations, Transactions, Managers, Analytics, and more.
2. The Heading
The heading is located at the top of the right side of the dashboard.
It provides important information about your current session, including:
-
The current host.
-
Today's date.
-
The current user.
If the logged-in user is the host, the host is displayed as the current user.
If someone is logged in as a manager, the manager is displayed as the current user.
3. The Main or Action Area
The main area is where the actual work happens.
It displays the list, details, forms, actions, and other content related to the page you are currently viewing.
Some pages use a single main area, while others use a two-sided layout where one side contains a list and the other side displays details.
Logging Into the Host Dashboard
The first page you may encounter when you visit host.supaspace.io is the login page.
You must log in before you can access the main Host Dashboard.
SupaSpace is a Foxstation platform, so you use your Foxstation Persona account to authenticate.
Persona is Foxstation's account management system and handles authentication for SupaSpace.
Once you have successfully authenticated through Persona, you can access the Host Dashboard.
The Home Page
The Home page gives you a quick overview of what is happening with your host account.
It is designed to show you the information that may require your immediate attention.
Upcoming Contracts
This section shows contracts that have been initiated but are not yet active.
For example, the guest may not have checked in yet, or the keys may not have been handed over.
These are contracts that are moving toward becoming active.
Active Contracts
This section shows contracts that are already active.
A contract becomes active after the guest has checked in or the property has been handed over, depending on the acquisition.
Active contracts remain here until the guest checks out or the deal is otherwise closed.
Spaces
The Spaces section shows your most recently updated spaces.
This gives you quick access to spaces that you have recently created or modified.
Confirmations
The Confirmations section is located toward the top-right of the Home page.
It shows the most recent requests that require your approval.
This makes it easy to see requests that need your attention without having to navigate to the Confirmations page.
Transactions
The Transactions section appears below Confirmations.
It shows your most recent transactions, including money received into your account.
Booking, Rent, Lease, Sale, and Bidding
The Booking, Rent, Lease, Sale, and Bidding pages contain essentially the same type of information: your contracts.
The difference is that each page filters the contracts according to the acquisition type.
For example:
-
Booking shows booking-related contracts.
-
Rent shows rental contracts.
-
Lease shows lease contracts.
-
Sale shows sales contracts.
-
Bidding shows contracts resulting from bidding acquisitions.
This makes it easier to manage contracts based on how the space or property was acquired.
Confirmations Page
The Confirmations page shows requests received from guests regarding your spaces and contracts.
The page is divided into two sections:
-
Left side: The list of confirmations.
-
Right side: Details of the selected confirmation.
Select an item from the list to view its details.
The details section then displays the information and actions available for that confirmation.
Note: On mobile and smaller devices, you will initially see only the list section. When you select an item, the details section will appear. Use the arrow button to return to the list. This two-sided behavior is used throughout the dashboard wherever a page has a list-and-details layout.
Properties Page
The Properties page shows all the properties you have added to your host account.
From this page, you can:
-
Click New Property to add a new property.
-
Select a property to view its details.
-
Click Add Space to add a space within a property.
-
Click Edit to make changes to the property's information.
A property can contain one or more spaces, allowing you to organize related spaces under the property they belong to.
Spaces Page
The Spaces page lists all the spaces you have added across your properties.
Each space has actions that allow you to manage it.
You can:
-
Click the Edit button on a space card to modify its information.
-
Click the Details button, represented by the eye icon, to view the space's details.
-
Perform other available actions from the space details page.
Space Features Page
The Space Features page is where you create and manage features that can be attached to your spaces.
This is a two-sided page.
First, you create a feature group with a name and title. You can then add individual features to that group.
For example, you could create a feature group for amenities and add features such as Wi-Fi, Parking, Swimming Pool, or Air Conditioning.
To create a new feature group, click the Add (+) Feature button.
Once your features have been created, you can attach them to your spaces.
Payment Options Page
The Payment Options page is also a two-sided page.
This is where you create and manage the payment options that can be attached to your spaces.
A payment option defines how a space is priced and how you want to receive payment.
You can attach multiple payment options to a single space.
This allows you to:
-
Give guests different ways to pay.
-
Offer different pricing based on the payment method.
-
Provide guests with more flexibility when making an acquisition.
For example, a space could have different prices depending on whether the guest pays using one payment option or another.
Extra Costs Page
The Extra Costs page allows you to define additional costs that can be attached to your spaces.
These costs can be:
-
Optional.
-
Compulsory.
-
Guarantee payments.
A guarantee payment can be used as an assurance that the guest will fulfill certain terms of the agreement.
Unlike a normal charge, a guarantee payment is intended to be refunded rather than released to the host, provided the applicable conditions are met.
You can also freeze a guarantee payment when necessary.
These extra costs give hosts more flexibility when managing additional charges and financial guarantees associated with a space.
Local Taxes Page
The Local Taxes page, also known as the tax rates page, allows you to configure taxes that apply in your jurisdiction but are not covered by Foxstation.
You can create the applicable local taxes and attach them to your spaces.
When a local tax is attached to a space, SupaSpace can collect the applicable amount on your behalf.
However, you are responsible for remitting the collected taxes to the appropriate authorities.
Important: Only add local taxes if your local authorities allow or authorize you to collect them. You must not use the platform to collect taxes that you are not legally authorized to collect.
Conditions Page
The Conditions page contains your terms and conditions or agreements.
From this page, you can:
-
Add new conditions.
-
Edit existing conditions.
-
Attach conditions to spaces.
Each space can have only one condition item attached to it. This does not mean you are limited to one individual rule or term. You can include all the applicable terms and conditions inside that single condition item.
Conditions attached to a space can form a legally binding agreement between the host and guest.
An important feature of SupaSpace is that conditions are copied when a contract is initiated.
This means that if you later edit a condition attached to a space, the change does not modify the conditions of contracts that were already initiated.
This protects the terms that applied to previous contracts while allowing you to update the terms for future acquisitions.
Positions Page
The Positions page is where you create and manage positions or roles for your managers.
You can:
-
Create positions.
-
Give positions access to specific pages.
-
Give positions access to specific actions.
-
Deny access to pages or actions.
-
Assign managers to positions.
This allows you to control exactly what each manager can see and do within your Host Dashboard.
For example, you could create one position for a customer service manager and another for a contract manager, each with different permissions.
Managers Page
The Managers page is where you view and manage the people assisting you with your Host Dashboard.
Managers are essentially assisting administrators who can help you manage:
-
Spaces.
-
Contracts.
-
Customers.
-
Other host activities.
To add a manager, you need to know their account username.
After you add a manager, a request is sent to them through Persona.
The manager must approve the request before they can access your dashboard.
Once they approve it, they can log in to your Host Dashboard. However, they will initially have no access to pages or actions until you assign them to a position.
This gives you control over exactly what each manager is allowed to do.
Customer Service Page
The Customer Service page is where you manage live chats with your customers and guests.
There is an important communication rule:
You cannot start a chat with a guest unless they have chatted with you first or they are already in your connections.
Once a guest has started a chat with you, you can continue chatting with them at any time, subject to their communication settings.
Connections Page
The Connections page contains guests who have interacted with you or your spaces.
A guest becomes a connection with you when they do something such as:
-
Follow your host profile.
-
Save one of your spaces.
-
Chat with you.
-
Initiate a contract with you.
-
Otherwise interact with your host account or space in a way that establishes a connection.
Once a guest is a connection, you can communicate with them through available communication channels such as:
-
Chat.
-
Email.
-
SMS.
Note: Guests can block you from chatting with them or sending them emails and SMS messages. Do not spam your guests or misuse your communication privileges.
Messaging Page
The Messaging page contains the emails and SMS messages you have sent to guests.
You can use this page to:
-
View messages you have sent.
-
View the details of a message.
-
See which guests received a message.
-
Send a new message.
-
Resend a previous message.
-
Send a previous message to another guest.
This gives you a central place to manage your guest communication history.
Reviews Page
The Reviews page shows the reviews guests have left about you.
You can view information such as:
-
Ratings.
-
Comments.
-
Guest feedback.
Reviews help you understand how guests perceive their experience with your spaces and services.
Followers Page
The Followers page shows guests who follow you.
Only guests can follow hosts.
Hosts cannot follow guests.
Blocks Page
The Blocks page contains the guests you have blocked.
Depending on the type of block, a blocked guest may be prevented from:
-
Initiating a contract with you.
-
Chatting with you.
You can review your blocked guests and unblock them from this page.
Guests are blocked from the Connections page.
Analytics Page π
The Analytics page gives you an overview of the progress and performance of your host account.
Depending on the available data, analytics can include information about:
-
Your properties.
-
Your spaces.
-
Your contracts.
-
Your ratings.
-
Your account balances.
-
Other available account information.
The page can display information using different visual formats, including:
-
Progress graphs.
-
Pie charts.
-
Rating charts.
-
Rater charts.
Use Analytics to get a quick picture of how your host account and spaces are performing.
Transactions Page
The Transactions page is a two-sided page.
It shows transactions made in relation to your host account.
You can view information about a transaction, including its source and destination.
Select a transaction from the list to view its details.
Accounts Page
The Accounts page shows your available balances.
This can include:
-
Main balance.
-
Tax balance.
-
Retained amounts, when applicable.
The Accounts page is also where you can withdraw your available funds.
Refunds Page
The Refunds page shows refunds that have been made in relation to your host account.
You can use this page to review your refund history and the associated information.
Escrows Page
The Escrows page shows payments received through the escrow system.
Depending on their current state, payments may be shown as:
-
Released.
-
Approved for release.
-
Refunded.
-
Otherwise held within the escrow process.
This gives you visibility into funds associated with your contracts and their current escrow status.
Notifications Page
The Notifications page contains notifications related to your host account.
You can:
-
View notifications.
-
Mark notifications as read.
-
Delete notifications.
Use this page to keep track of important events and updates.
Activity Logs Page
The Activity Logs page provides a record of activities performed within your host account.
You can see:
-
What activity was performed.
-
Who performed it.
-
Which item was affected.
Activities can relate to things such as contracts, spaces, properties, managers, and other resources.
You can also view activity related to a specific item from the item's details page.
For example, you may be able to view the activities associated with a particular contract or space directly from its details.
You can also view activities performed by a particular manager from the manager's details on the Managers page.
This makes Activity Logs useful for tracking changes and understanding who performed an action.
Accessor Page
The Accessor page provides information about the person currently logged in.
Depending on who is accessing the dashboard, this may be the:
-
Host.
-
Manager.
It helps identify the current user and their access context.
Settings Page βοΈ
The Settings page contains settings and configuration options related to the host account.
Some of the things you can manage from Settings include the following.
Buy SMS and Email Credits
Purchase SMS and email credits that can be used for communicating with your guests.
Change Your Balance Currency
You can change the currency used for your balance.
Important:
Changing your balance currency may affect the value of your balance because foreign exchange rates can apply when converting between currencies.
Consider the possible effect of exchange rates before changing your balance currency.
Set Up Automatic Messages
You can configure automatic SMS and email messages to be sent to guests when specific events occur.
These events can include:
-
Acquisition.
-
Check-in.
-
Payment.
-
Cancellation.
-
Check-out.
-
Pay later.
This allows you to automate common guest communications and keep your guests informed without manually sending every message.
Configure the AI Assistant
You can turn the AI assistant on or off and change its position within the dashboard.
Other Dashboard Pages
In addition to the main management pages, SupaSpace also contains several supporting pages.
Error Page
The Error page provides information when something unexpected or uncertain occurs.
An error page does not necessarily mean that the platform's functionality has been affected.
In many cases, it acts as an informational and security measure to let you know that something did not proceed as expected.
Not Found Page
The Not Found page appears when you try to access a page or resource that does not exist.
Payment Page
The Payment page is used to verify processed payments.
As of the time of writing, Foxstation uses Paystack as its payment processor for SupaSpace.
Additional payment processors may be supported in the future.
Auth Page
The Auth page is used during authentication.
You may encounter it when logging into SupaSpace through Persona.
Helpful Dashboard Tips π‘
Note: If you log in as a manager, you may see only a limited number of pages and features.
The pages and actions available to you depend on the position assigned to you and the permissions associated with that position.
Note: Many pages contain search and filter tools to help you find specific information.
Use the red Reset button to clear your search and filters.
On mobile and smaller devices, search and filter controls may be hidden. Use the red arrow button to open or close them.
Tip: There is an arrow button at the top-right of the main area. Use it to expand or resize the main area when you need more working space.
Tip: There is also an arrow attached to the sidebar. Use it to minimize or resize the sidebar and give the main area more room.
